How to register a visitor in the RIW System
This article details how to register a visitor who is attending a site. A visitor is someone who does not have an RIW card and is only visiting the site and not performing work.
When attending a site, a visitor can use the QR code on their pass to sign in with an Access Controller through the RIW App, or an RIW integrated kiosk. For more details, please refer to How does a visitor sign in and sign out of an RIW Kiosk or Tablet?
This instruction applies to the following user roles:
- Advanced Project Admin
- Project Admin
- Site Admin
1 | Go to https://app.riw.net.au and log in using your credentials. |
2 | Click on Visitors > Register Visitor. |
3 | First, check to see whether the visitor already exists in the RIW database. Enter the visitor’s first name, surname and date of birth and click Search.
If the visitor is located in the RIW System their details will appear below.
If the profile belongs to the visitor to be issued the pass, double click on the profile to open the Add Visitor screen to be updated and for a new visitor pass to be issued. |
4 | If a matching record is not found, click Add New Visitor.

5 | On the Add Visitor screen, complete the required details noting that any fields highlighted with a red asterisk (*) are mandatory, including a visitor photograph. Add any required information in the Notes text box provided. Note: Only sites linked to the assigned project will be available for selection from the Site field. NOTE: The First Valid Date means the visitor pass will be active from 00:01hrs on the specified date. If todays date is entered, it is valid once the record has been saved. To upload a photograph, click the Upload hyperlink under the placeholder image.

6 | On the Image Upload screen, click Choose File and browse the computer to locate the photograph. Click Upload. |
7 | Once the image has been uploaded, crop the image so that the visitors face is clearly visible. Click Upload.

8 | Click Save and Print Visitor Pass when all details have been entered, noting that fields marked with a red asterisk (*) are mandatory.

9 | The visitor pass will open in a new window as a PDF file. The visitor pass can be downloaded or printed using the icons in the top right hand corner of screen. The passes are designed to fit into a typical card holder, such as the pocket of a high-visibility vest. Alternatively, you can email the pass to the visitor as a digital copy. Note: Ensure pop up blockers have been disabled for the browser in use, as the pass will load on a new tab in the browser.

10 | Click the Return to Visitors link to add another visitor if required.

This article details how to manage visitors in the RIW System using the Visitors Today function.

2 | Go to Visitors > Visitors Today. |
3 | On the Visitors Today screen, a summary view of all visitors passes generated today for the project or site will be displayed. By default, the All Visitors Today option is selected, however you can toggle this to Visitors On Site Only. You can use any of the search filters to refine the list.  From here you can

This article details how to view current and historical visitor passes in the RIW System. Using visitor passes will allow you to view, reprint, swipe out and cancel generated visitor passes.
This instruction applies to the following user roles:
- Advanced Project Admin
- Helpdesk
- Project Admin
- Site Admin
1 | Login at https://app.riw.net.au using your credentials. |
2 | Click on Visitors > Visitor Passes. |
3 | On the Visitor Passes screen, enter a Visitor Surname or Host Surname to start the search. Click Search.
From here you can

4 | Visitor passes are designed so they can be cut to fit into a typical card wallet or high-vis pocket. The pass can be emailed to the visitor prior to attending site. Visitors can use their pass to sign into site with an Access Controller or on a RIW Kiosk.

A visitor pass will not record a Breathalyser result against a visitor profile in the RIW System. A visitor can perform a breath test prior to site entry in accordance with site requirements, which must be confirmed by an Access Controller at point of testing.

This article details how to view a visitor profile in the RIW System.
You can only view a visitor profile if the visitor has signed into the network, project or site which your user permission is associated with.
This instruction applies to the following user roles:
- Advanced Project Admin
- Helpdesk
- Network Manager
- Network Manager - Read Only
- Project Admin
- Site Admin
1 | Go to https://app.riw.net.au and log in using your credentials. |
2 | Click on Search for My People. |
3 | On the People screen, use the Visitors drop down to choose Visitors Only. Click Search.  |
4 | To view the visitor profile, click on visitor name and Edit. A visitor profile is very similar to a Rail Industry Worker profile, and you can check their swipe information, contact details or whether they have been issued any site-based competencies (such as site inductions or briefings). You can also check when a Visitor Pass had been issued and used by clicking on the Visitor Passes item from the left-hand menu.  |
