How to log in and use the Web Card Reader


This article details how to log in and use the Web Card Reader. 


You can use the Web Card Reader to:


The Web Card Reader can be used from any desktop, laptop or smart device with an internet connection.


NOTE: Site requirements are refreshed every 30 minutes, or when a user logs in or logs out of a Web Card Reader session.


You must be an Access Controller or Spot Checker to use the Web Card Reader. Refer to How does a company assign an Access Controller or Spot Checker? for more information.




This instruction applies to the following user roles:

  • Access Controller
  • Spot Checker

Go to https://app.riw.net.au/ and click on the Web Card Reader link at the bottom of the page. Alternatively, you can access the Web Card Reader direct at https://cardchecker.riw.net.au/.

On the Web Card Reader login page, scan your RIW card using the webcam on your device or a QR scanner.





NOTE: On smaller screen devices, such as a mobile phone, the login screen is resized and the QR Scanner option is not available. You can only use the device camera.



USE CAMERA

Click on Use Camera and align your RIW card or virtual RIW card to the camera. It will automatically detect the QR code, though you may need to move the RIW card around until the perfect distance between the QR code and the camera is found.



You can toggle the Mirror function for front facing cameras and you can choose an alternative webcam from the drop down menu located on the bottom of the screen.


USE QR SCANNER

Click on Use QR Scanner and scan your RIW card using the scanner. It will automatically read the QR code and populate the text field with the QR string before validating.

When your RIW card has been successfully read, the Cardholder authentication screen will display. 


The two-factor authentication process is the same on all platforms. Select the method for sending the authentication code, Email or SMS and click Send. 


Enter the code into the Authentication code field and click Authenticate.

Once you have successfully logged in, select the Network, Project, Site, and if required, Zone. Click Proceed.

The Web Card Reader home page may look a little different depending on your role. An Access Controller has full menu functionality, whereas a Spot Checker only has the Spot Checks menu available.


You can access an additional menu by clicking on your profile photo in the top right of the screen. This menu allows you to:

Swipe in or swipe out a Rail Industry Worker using the Web Card Reader


This article details how to swipe in or swipe out a Rail Industry Worker from a site or zone using the Web Card Reader.


Note: The Web Card Reader does not have the same team options found in the RIW App. You will only be able to see the swipe activity performed during your logged in session.




This instruction applies to the following user role:

Login to the Web Card Reader at https://cardchecker.riw.net.au/, following instructions in How to log in and use the Web Card Reader.

To swipe a Rail Industry Worker into site, click on the Swipes tab and Swipe In.


On the sub-menu, choose to scan the worker's RIW card using your device camera, a QR code scanner or the Forgotten Card function

When the card has been successfully read, the Rail Industry Worker's profile will display.  


You can assign the worker's Employer and job role for the shift, update their travel time to/from site, and also view their profile details, such as held competencies and job roles.


If you are satisfied the Rail Industry Worker meets site requirements, click Confirm Swipe.


If you feel the Rail Industry Worker does not meet site requirements, you can also Deny Swipe.




Once you have confirmed the swipe, the Rail Industry Worker and the swipe event will be displayed on the main screen.

Where the RIW System detects the Rail Industry Worker does not meet site/location requirements set by the Contractor in Charge, a notification will prominently display on the top of the worker's profile advising of the invalid requirement.



An automatic access denied event will be recorded. For more information, refer to What are the different types of swipe events and deny reasons in the RIW System?


In the case above, the Rail Industry Worker will need to complete the two pre-work briefs assigned a site requirement. Refer to View and award scheduled site-based competencies using the Web Card Reader?

To swipe a Rail Industry Worker out of site, click on the Swipes tab and then Swipe Out.


Similar to step 2, scan the RIW card or use the forgotten card function for the worker to be swiped out. On the worker's profile, you can update their travel time from or to place of rest, and then click Swipe Out.


The Rail Industry Worker will now be swiped out of site.

Spot check using the Web Card Reader


This article details how to perform a spot check on a Rail Industry Worker using the Web Card Reader, to ensure the worker has authority to work at the site.


Spot checks can be performed by an Access Controller or a Spot Checker. Records of a spot check are recorded in the RIW System.

Login to the Web Card Reader at https://cardchecker.riw.net.au/, following instructions in How to log in and use the Web Card Reader.

To swipe a Rail Industry Worker into site, click on the Spot Checks tab and Spot Checks button.


Note: Spot Checkers will only have the Spot Check tab available. Access Controllers will have full access to the Web Card Reader to also perform swipe in and swipe out events, and award competencies.



From the available options, choose to scan the worker's RIW card using the camera or a QR code scanner. Or you can use the forgotten card function.

When the card has been successfully read, the Rail Industry Worker's profile will display. On this screen you can select the job role to spot check using the Job role drop down, or you can also leave this blank.

Click Proceed.


You can then view an overview of the Rail Industry Worker's job roles, competencies, previous locations, fatigue information and mobile number and emergency contact details.


Click OK once the spot check has been performed.

Forgotten card function on the Web Card Reader


This article details how to use the forgotten card function on the Web Card Reader to perform a swipe action, spot check or award a competency to a Rail Industry Worker where the do not have access to their RIW card.



This instruction applies to the following user roles:

  • Spot Checker

Login to the Web Card Reader at https://cardchecker.riw.net.au/, following instructions in How to log in and use the Web Card Reader.

The forgotten card function can be used when swiping a worker in or out of site, when spot checking a worker, or when awarding a competency or site-based competencyy to a worker with the Web Card Reader.

When you are required to identify a Rail Industry Worker and they do not have their RIW card, click on Forgotten Card.

On the Forgotten Card pop-up, enter the Rail Industry Worker's Surname, Initial of their first name, and either the workers RIW Number or Date of Birth. 

Click Find.


If the Rail Industry Worker details are matched, their profile will immediately display and you can continue to perform the required action.


If the Rail Industry Worker's details cannot be matched, please check their details and try again.

View location requirements in the Web Card Reader



This article details how to view the location requirements in the Web Card Reader that has been set by the Network or Contractor In Charge of a Project, Site or Zone.  This allows an Access Controller or Spot Checker to identify any pre-requisite competencies required for a Rail Industry Worker to access the current location.



NOTE: Site requirements are refreshed every 30 minutes, or when a user logs in or logs out of a web card reader session. If site requirements are update when a user is logged in with the web card reader, please log out and log in to refresh.




This instruction applies to the following user roles:

  • Access Controller
  • Spot Checker

Login to the Web Card Reader at https://cardchecker.riw.net.au/, following instructions in How to log in and use the Web Card Reader.

On the Web Card Reader home page, click on your profile photo in the top right of the screen to display the sub-menu, and then Location Requirements.


The location requirements will display on screen. The example below shows that two pre-work briefs are required for a Rail Industry Worker to be allowed access to the site. The Access Controller can award these competencies (if awardable by an Access Controller) by following the instructions in View and award pending site-based competencies using the Web Card Reader.


In the below example, a number of Network competencies are required. In this case, they can not be awarded by an Access Controller. The Rail Industry Worker should be referred back to their employer to undertake the necessary training and upload of the required competencies to their RIW profile.

Change location in the Web Card Reader


This article details how to change the location of their assigned Network, Project, Site or Zone through the Web Card Reader.



This instruction applies to the following user roles:

  • Access Controller
  • Spot Checker

Login to the Web Card Reader at https://cardchecker.riw.net.au/, following instructions in How to log in and use the Web Card Reader.

When you are signed in and if you need to change your location, click on your profile photo to show the sub-menu, and then Change Location.


Make the required changes to the current location by selecting from the available options. Click on Proceed when the new location has been set.

Any subsequent swipes will be recorded at the new location.


IMPORTANT: The history for swipes, spot checks and competencies are only shown for the last 12 hours. If the Access Controller/Spot Checker uses the Change Location option, the swipes, spot checks and competency histories will be cleared if either the Network, project or site are changed. If only the zone is changed, the history is retained.

How does the Web Card Reader display cardholders whose access is denied?


Under certain situations the RIW System will automatically deny access to a cardholder. These are:

  • Cardholder is blocked;
  • Cardholder has no current employer;
  • Cardholder’s card has been cancelled;
  • Cardholder does not hold a competency or job role that is required to access the chosen project, site or zone.

This article details how this will be displayed on a cardholders profile through the Web Card Reader.


This instruction applies to the following RIW System User Roles:

  • Spot Checker
  • Assessor


Step 1: Log in to the RIW System

Go to https://app.riw.net.au click on the Web Card Reader link, or alternatively, go direct to the Web Card Reader at https://cardchecker.riw.net.au/login.

Step 2: Accessing Web Card Reader

Follow the instructions for initialising the Web Card Reader in the RIW Knowledge Centre Article How to use the Web Card Reader, as these steps can be quite detailed for first time use.




Step 3: Swipes tab

To view a cardholders details, select the Swipes tab from the top menu. 




Mobile View


Step 4: Swipe in options

Click the Swipe In button to present a set of card read options:  Click on the option for the swipe on.

  • QR Code (Camera) - scan the QR code on a cardholder’s physical/virtual card or a visitor pass using a web cam or the mobile device’s camera;
  • QR Code (Scanner) - scan the QR code on a cardholder’s physical/virtual card or visitor pass using a QR code gun. This option is not available on mobile devices;
  • Forgotten Card - search for a cardholder’s card using key information.


Step 5: Message - Access Denied

When the cardholder's access is denied, the only option available for selection will be to click OK (as shown below), which will record an Access Denied - System swipe on the RIW System.



The system will record the denied access swipe along with the reason for the denied access.

Award a competency using the Web Card Reader


This article details how to award a competency to a Rail Industry Worker using the Web Card Reader.



This instruction applies to the following user roles:

  • Access Controller

Login to the Web Card Reader at https://cardchecker.riw.net.au/, following instructions in How to log in and use the Web Card Reader.

To award a competency to a Rail Industry Worker, click on Competencies > Choose Competency.

Select the Competency type:

  • Available includes all competencies available for issuing at the site.  These could include project or site inductions, or other competencies set as required for site and awardable by an Access Controller.
  • Scheduled includes pending site-based competencies that have been set for delivery at a certain time. For more detail about this, refer to View and award scheduled site-based competencies using the Web Card Reader.


You can then select the Competency Category and Competency unit to be awarded to the Rail Industry Worker from the available options.


Click Proceed.

The details of the competency will appear at the top of the screen.


Click the Award button to choose the Rail Industry Worker to award the competency to. You can either scan the QR code on their RIW card using a camera or QR scanner, or use the Forgotten Card function.

Once the RIW card has been swiped, the Rail Industry Worker profile will display.


To add evidence to the competency, click the Add Evidence button and then Browse to locate the evidence on your device.


Note: The Web Card Reader only supports evidence files in .jpg and.png formats and a maximum file size of 5Mb.


Next, click the Add button then Award.




When adding evidence on a mobile device, there is an additional option to use the device’s camera to take a photo of any supporting evidence.

You will return to the Competencies screen, which will display all competencies issued to Rail Industry Workers during your session. You can then continue to add more competencies by clicking on Choose Competency.

View and award scheduled site-based competencies using the Web Card Reader


This article details how to view and award pending site-based competencies to a Rail Industry Worker using the Web Card Reader.


A scheduled site-based competency could be a toolbox talk or safety briefing that needs to be delivered during a set period defined by the project or site administrator.


NOTE: Site requirements are refreshed every 30 minutes, or when a user logs in or logs out of a Web Card Reader session.




This instruction applies to the following user role:

  • Access Controller

Login to the Web Card Reader at https://cardchecker.riw.net.au/, following instructions in How to log in and use the Web Card Reader.

Click on your photo at the top right hand side of the screen to access the sub-menu.

Click on Location Requirements.



This option will show any prerequisite site-based competencies required by a Rail Industry Worker to access the current location.



The competencies can be awarded to the worker at this point or later, if more convenient. To award a competency from this view, click on the relevant competency from the list and click the Award button.


Note: Having selected a competency from a long list, should the Award button remain inactive, scroll to the bottom of the list and you will find that an Expiry Date is required before being allowed to proceed with awarding the competency

The name of the competency you have chosen to award will display on the top of the screen.  You now need to choose the Rail Industry Worker to award the competency by clicking on Award, and then choosing the appropriate icon (Camera, QR Scanner or Forgotten Card) and read/retrieve the worker’s card, following the onscreen instructions.




Once the RIW card has been swiped, the Rail Industry Worker profile will display.


To add evidence to the competency, click the Add Evidence button and then Browse to locate the evidence on your device.


Note: The Web Card Reader only supports evidence files in .jpg and.png formats and a maximum file size of 5Mb.


Next, click the Add button then Award.




When adding evidence on a mobile device, there is an additional option to use the device’s camera to take a photo of any supporting evidence.





Once the pending competencies have been awarded to all the relevant Rail Industry Workers, go to the Competencies menu, select Choose Competency then Scheduled. Click on the sub-menu of the relevant competency and select Mark as complete as shown below:



The competency will be removed from the list of scheduled competencies.
